E-MAILING

In version 2001, you can email (or fax) your Invoices directly from QuickBooks; all you need is a fax modem for faxing and to be on the Internet for sending Invoices.
Emailing an Invoice is self-explanatory – when in the Invoice itself, click on SEND instead of print.
Faxing an Invoice is done by clicking on Print and selecting your fax modem.
When your CPA or Bookkeeper or QuickBooks Consultant needs to see your QuickBooks file, here’s a fast way to get it to him/her – EMAIL IT! Here’s how:
TO
SEND QUICKBOOKS FILE BY E-MAIL
1. OPEN QUICKBOOKS
2. Be sure you are in SINGLE USER MODE (click on File to check this)
3. Click on FILE
4. Click on BACKUP
5. Be sure the BACKUP TO box says DESKTOP
6. NAME the file today’s date (06-01-01) do not use / in between numbers
7. OPEN E-MAIL Program
8. CREATE NEW E-MAIL TO SEND
9. ADDRESS IT (example: Sharon@Qbooks.net)
10. IN THE SUBJECT LINE TYPE “QUICKBOOKS Version 2001 (or your version)
11. CLICK ON ATTACHMENT (OR INSERT or THE PAPER CLIP, THEN FILE)
12. IF YOU ARE USING AOL, CLICK ATTACH and go through the steps
13. LOOK IN DESKTOP FOR THE FILE YOU JUST BACKED UP
14. DOUBLE CLICK ON IT (IT SHOULD NOW BE ATTACHED TO THE E-MAIL)
15. Send the E-MAIL
TO RESTORE QUICKBOOKS FILE FROM E-MAIL
1. OPEN THE E-MAIL SENT TO YOU
2. DOUBLE CLICK ON THE ATTACHMENT
3. CLICK ON SAVE IT TO DISK or FILE
4. SAVE IT TO THE DESKTOP
5. CLOSE E-MAIL OR MINIMIZE IT
6. OPEN QUICKBOOKS
7. CLICK ON “FILE”
8. CLICK ON “RESTORE”
9. GO TO DESKTOP AND DOUBLE CLICK ON THE FILE
10. SAVE TO THE NAME IN THE FILE NAME BOX (or a new name if you don’t want to override your existing file)
